Choir Committee Meeting

4.15 pm Sunday 22nd April 2007

 

Present: John Bullen (Acting Chairperson), Verity Bullen, Peter Dutton, Fr. Edward, Roger Elias, Anna Graebe, Kate Graebe,  Hilary King, Mark Napier, Jenny Robinson,  Jessica Robinson.

 

1.       Apologies: Chris Miles (Chairperson),  Alex Miles.                     Before the meeting began, John asked whether there should be a time limit on serving on the committee, and it was agreed that this should be 2 years.  After that time another person could take the place.  It was agreed that at the next meeting in the autumn, applicants will be invited to join the committee if present members wish to leave.

2.       Minutes of meeting previous meeting:   Minutes of the meeting held on 14.1.07 were agreed.

3.       Action points and matters arising :  these items were covered by the relevant reports on the Agenda.

4.       Director of Music’s report:  Peter reported that he was very happy with the level of commitment over Holy Week.  Recruitment: There are now 21 trebles with another one due to start on Monday, and others who have expressed an interest.  However, we do need a few more men but these are harder to recruit. Roger agreed that it is excellent to have so many trebles but questioned whether they may need to be split up if numbers continue to grow.  It was also agreed that the choir needs to attract more boy trebles. Verity has designed a new choir leaflet and this will soon be circulated.  Choir robes: The question of cassocks and surplices was then discussed.  Roger said that a system needs to be set up where all the cassocks and surplices are numbered and suitable height and size recorded.  Jenny suggested that the running repairs to cassocks could be carried out by Mums who are chaperoning the Monday evening choir practice. After some discussion, it was agreed that prior to a social event to be organised by Verity, the choristers would get together to try on and be allocated their robes. Roger suggested the possibility of a bulk ‘service wash’ at a local launderette to give a fresh start. Cathedral Evensong:  There will unfortunately be no Cathedral Evensong this summer as Arundel and Rochester both cancelled, but Portsmouth is booked for Evensong for September 15th

5.       Treasurer’s report and fundraising:  Mark told the meeting that, since the last meeting, 3 items have added to the Choir fund: the Table Sale raised £305.50 and the expenses were £85.37; Peter’s Organ Recital raised £130 and Gift Aid refund contributed £379.22.  This gave a total of £754.72 raised.  Mark has paid £1,000 deposit to Peterborough Choir School for the Choir holiday and the Choir Fund balance now stands at £1126.92.

6.       Fund raising: Peter is currently planning a Summer Concert of ‘light’ music to be held mid July.  The planned Organ Open Day has been postponed until the organ can be re-keyed, and now will probably take place in the autumn.  Fr. Edward asked if the Summer Concert could include wine and cheese and the possibility of getting a licence was discussed.  Roger informed the meeting that these are easy to obtain and only cost £20, and it was generally agreed that this was a good idea and would help to attract people to the Summer Concert.

7.       Social Secretary’s report and forthcoming events:  Peter and Verity visited Peterborough after Easter and Verity reported that there is a lot to do there and she is sorting out an itinerary.  The accommodation is brilliant and has lots of grounds and activities.  A letter will shortly be going out to parents regarding cost.  Mark said that it had been kept to the same amount as last year thanks to subsidising as the cost had actually gone up.  Verity will organise a get-together for choristers and their parents so that the holiday can be discussed and information shared.  Verity is also planning to organise a barbeque for the men before the Peterborough holiday.  Roger offered the use of his garden, but Verity thought it would probably be held at Peter’s in the mews.  Roger mentioned Rochester and the new Dickens Centre there as a good day out for the choir, and Peter said that, although the planned trip this year had been cancelled recently, he was hoping to book a day at Rochester in the New Year. 

8.       AOB: John had been asked by an adult member of the choir if there could be general access to the minutes of the Choir Committee Meetings.  It was agreed that the minutes could be put on the website and John will also put a copy on the notice board.
